OAMF Event Participation Agreement

Terms Applicable to All Event Participants

General Information

By registering, volunteering for, or otherwise participating in an Ohio Advocates for Medical Freedom (OAMF) sponsored or co-sponsored event (Event Participant, Vendor, Volunteer, etc), or an event otherwise associated with OAMF (Event), participants, including, but not limited to, staff, sponsors, volunteers, vendors, or anyone otherwise present at the event agree to comply with the event rules, terms, and conditions contained within this Event Participation Agreement.

Agreement of OAMF Purpose

All Event Participants who desire to participate in OAMF events should generally accept the tenants of OAMF’s Purpose: “The purpose of this corporation shall be to inform and educate the citizens and legislators of the State of Ohio about legislative matters that support or infringe upon medical freedom and informed consent rights and to promote policies ensuring that these rights are upheld.” Any Event Participants who object to OAMF’s official Purpose Statement or the general goals of OAMF as publicly outlined within the organization’s website and publicity materials, should refrain from participating in OAMF events.

Weather Damage, Conduct, Property Damage, and Theft

OAMF shall not be liable for damage to or theft of any Event Participant’s property under any circumstances. Event Participants are solely responsible for any property damage or injury caused by their own negligence. Additionally, Event Participants are solely liable for any damage they may cause to event property, property rented or donated for event use, property of other vendors, and property of event staff and attendees. It is important to OAMF that all Event Participants behave in a decorum that does not cause any damage to property and does not encourage attendees to damage property. OAMF reserves the right to determine appropriateness of material and conduct and to ask any Event Participant to leave the event at OAMF’s sole discretion. Please just use good judgment.

Audio / Visual Image Release

Event Participant and Event Participant’s agents release the OAMF, and their staff and agents, to take and use audio/visual images of Event Participant, including Vendors and their products, displays, or any other intellectual property Vendor may bring onto the OAMF event grounds and any audio/visual images of Event Participant and Event Participant’s agents and/or Event Participant and Event Participant’s agents likeness. Audio/Visual images (Images) are any type of recording, including photographs, digital images, drawings, renderings, voices, sounds, video recordings, audio clips or accompanying written descriptions. The Images may be used in any manner or media without notifying Event Participant, such as, but not limited to, OAMF sponsored websites, publications, promotions, broadcasts, advertisements, posters, and slides. Event Participant waives any right to inspect or approve the finished images or any printed or electronic matter that may be used with them. Event Participant and Event Participant’s agents releases OAMF, and their staff and agents, including any firm authorized to publish and/or distribute a finished product containing the images, from any claims, damages or liability which Event Participant may ever have in connection with the taking or use of the images or printed material used with the images.


For purposes of this Agreement, “Confidential Information” shall include all information or material that has been communicated, orally, in writing, or otherwise, from OAMF, and their staff and agents to the Event Participant, which includes, but is not limited to Event Participation fees, discounts, accommodations, etc. Event Participant’s obligations under this Agreement do not extend to information that is publicly known at the time of disclosure or subsequently becomes publicly known through no fault of the Receiving Party or is disclosed by Event Participant with OAMF, and their staff and agent’s prior written approval. Event Participant shall hold and maintain the Confidential Information in strictest confidence for the sole and exclusive benefit of the OAMF, and their staff and agents. The nondisclosure provisions of this Agreement shall survive the termination of this Agreement and Event Participants duty to hold Confidential Information in confidence shall remain in effect indefinitely.

General Indemnification

Event Participant agrees to defend, indemnify and hold harmless OAMF, its Executive Board, officers, agents and employees, volunteers, event attendees, individually and collectively, from and against all costs, losses, claims, demands, suits, actions, payments and judgments, including legal and attorney fees, arising from personal or bodily injuries, property damage or otherwise, however caused, brought or recovered against any of the above that may arise for any reason from or during or be alleged to be caused by OAMF, its Executive Board, officers, agents and employees, volunteers, festival attendees, individually and collectively.

Modification and Termination of Agreement

The Event is a private event hosted by OAMF; as such, OAMF may at any time and for any reason modify or terminate this agreement with the Event Participant for OAMF’s convenience. Event Participant may also terminate this agreement at their convenience by submitting written notice in advance of thirty days prior to event.

Vendor Specific Participation Terms of Participation

A Vendor, for purposes of this agreement, will be considered an individual, business, or other organization who participates in the Event by offering their products, services, or information to event attendees. The Vendor’s participation may cost the Vendor a participation fee, or may not.

General Vendor Guidelines

Space is limited; booths will be reserved on a first-come, first-paid-in-full basis. Event staff reserves the right to refuse a vendor application or portion of vendor application for any reason and refund vendor their application fee or portion of application fee. Once accepted to the Event, all vendor fees are non-refundable, including, but not limited to, if the Event is cancelled for any reason, if Vendor is asked to leave Event, if Vendor is dissatisfied with Event, etc. Vendors will receive final event information about a week prior to the event.

General Vendor Guidelines

Unless otherwise agreed upon in writing, all vendor setup shall take place day of event, starting one hour prior to event. Vendor must report to event staff to check-in and follow instructions to vendor space. Vendor may unload their vehicle, but must immediately park their vehicle prior to setting up their vendor space, this ensures there’s space for other vendors to access their spaces. Vendor may begin to dismantle their booth no earlier than the event public closing time. At event close, vendor should dismantle their vendor space, then retrieve and load their vehicle. Unless otherwise agreed upon in writing, vendors must be completely vacated within one hour of event public closing time. Vendors must not dismantle booths or exhibits while event is in operation. Event staff reserves the right to not invite to future events vendors who leave early. Event staff also reserves the right to relocate vendor space assignments at event staff’s sole discretion.

Materials & Electrical Utilities

Unless otherwise agreed upon in writing, tables, chairs, tents, lights, plug strips, extension cords, power adapters, and any other materials Vendors might need are to be supplied by the Vendor; OAMF only provides vendors their requested booth space.

Unless otherwise agreed upon in writing, under no circumstances shall Vendors have any contact with the electrical service, including event venue electrical outlets. Failure to adhere to this policy could result in loss of power to vital event services and will not be tolerated. Vendors who have received approval to use such electrical service should only have contact with electrical service at the direction of event staff. Additionally, Vendor specifically acknowledges and agrees that OAMF shall have no liability for any claims whatsoever relating to the provision of or for any failure to provide such services. Vendor shall be permitted to use such service only of the nature and amount as approved by OAMF.

Serving / Distributing Food

Unless otherwise agreed upon in writing, under no circumstances shall a Vendor, who has not applied to OAMF as a “Food Vendor”, distribute food or beverages that are prepared on-site, for free or otherwise; vendors selling pre-packaged food or beverage items are permitted to provide eventgoers samples of their products. All vendors providing eventgoers with food or beverage of any kind must be in compliance with Franklin County Health Department Regulations.
